You might have purchased Qualtrax for Document Control functionality to help you maintain regulatory compliance.

Then, sometime during initial Implementation and training, a light bulb goes off and you realize that Qualtrax can automate most, if not all, of your existing forms based processes.

And while workflows are a great way to control your quality processes, they can do so much more. When you initially set up workflows, it’s easy to consider Corrective Actions, Preventative Actions, Non Conformances, etc. as good candidates for early workflows. But with a little bit of creativity you can turn virtually any business process into a workflow!

We’ve seen customers have a lot of fun creating and designing workflow as a team. Many customers use the workflow designing process as a collaborative team project. Recently, the team at the County of Kern District Regional Attorney Regional Criminalistics Laboratory collaborated on an Audit workflow to track all findings from either an internal or external audit. During a training session, the workflow was nicknamed, “The 18 Footer”. Since I am from the South and fish quite a lot, I might have exaggerated a little bit, but the picture below is a great shot of the planning phase of building a workflow.

While the County of Kern team focused on a workflow that benefits their Quality Department, we have seen many customers create workflows for every area of their organization. Below is a list of some unique workflows that we have seen customers design and implement:

  • Chemical Logbook
  • Continuing Education Tracking
  • Customer Complaint Submissions
  • Customer Return
  • Employee Performance Reviews
  • Expense Reimbursements
  • Instrument Calibration
  • Instrument/Equipment Maintenance
  • Internal Audits
  • Maintenance Work Order
  • Meeting Minutes
  • New Product Workflow
  • Paid Time Off Requests
  • Product Hold Workflow
  • Purchasing Requests
  • Reagent Tracking
  • Safety Work Order
  • Suggestion Workflow
  • Testimony Evaluation
  • Vendor Approval

As you can see, the ideas for workflows are endless. With a little bit of creativity, workflows can be a great way to increase efficiency throughout your whole organization. If you are interested in learning more about creating workflows or have an idea for a workflow but don’t know where to start, please contact us by emailing support@qualtrax.com. We can also create the workflows for you if you do not have the time to create them. At Qualtrax, we are constantly and pleasantly surprised with the unique workflows our customers create, and we are always happy to assist with your workflow needs.
